Privacy Policy
Effective 27/09/2026
Green Leaders Community (GLC) organises events, training sessions and community activities — in person and online — and runs this website. This policy tells you what personal data we collect, why, who we share it with, how long we keep it, how we use photos and recordings from events, and what rights you have. It follows Vietnam’s Law on Personal Data Protection (in force since 1 January 2026) and Decree 13/2023/NĐ-CP.
1. Who we are and how to reach us
The controller of your personal data is Green Leaders Community (GLC). For any question or request about your data, contact us at:
- Email: [email protected]
- Phone: +84 348 803 307
- Representative offices: 224 Điện Biên Phủ, Võ Thị Sáu Ward, Ho Chi Minh City; 5 Nguyễn Công Trứ, Sài Gòn Ward, Ho Chi Minh City
2. What we collect
On the website
- Contact form: your name, email and message; your phone number and company/organisation if you choose to add them (optional).
- Resource download form: for some items in our Resources section we ask for your name and email, and your company/organisation if you choose to add it (optional), before the download.
- Analytics: the site uses Google Tag Manager to record anonymous usage — pages viewed, time on page, device and browser type, approximate location (see section 8).
- Server logs: our hosting provider automatically records IP addresses, access times and requested pages to operate and secure the service.
When you register for an event
Depending on the event, we take registrations through Google Forms, Luma, Zoom or Meta (Facebook) event tools. We usually ask for your name, email, phone number, organisation and role; for some in-person events, dietary or accessibility needs if you wish to tell us.
At events
Attendance lists; photographs, video and audio recorded during the event; for online sessions, the Q&A and chat messages in the session.
On our community channels
When you choose to join GLC’s groups or pages on Facebook, LinkedIn, Zalo or WhatsApp, we see your display name and what you post there, under each platform’s own terms.
3. Why, and on what basis
We use personal data to:
- run the event you registered for — confirmations, session details, attendance, certificates where offered;
- answer the message you sent through the contact form;
- record who has downloaded GLC’s materials and follow up with you about that material where relevant;
- send materials and follow-ups about that event and — with your consent — about upcoming GLC activities;
- publish event photos and recordings on GLC’s channels to document the community’s work (see section 4);
- improve our website and programmes.
The basis for this processing is your consent, given when you register, send a message, download a resource, or attend an event after being notified. You can withdraw it at any time (section 7); withdrawal does not affect processing that already took place.
4. Photos and recordings at events
GLC events are usually photographed and filmed; online sessions may be recorded in full. We say so when you register and remind you at the event. Photos and recordings may be published on GLC’s website, social media and communication materials.
If you would rather not appear, tell the organisers before the session starts or write to us; in online sessions you can keep your camera off. If a specific photo or clip has already been published, you can ask us to remove it — we will do so where feasible (we cannot recall copies others have already shared).
5. Who else sees your data
- The platforms we use to organise and communicate — Google (Forms, Workspace, Analytics), Zoom, Meta (Facebook, Instagram), LinkedIn, Luma, Zalo, WhatsApp — process data on our behalf under their own policies; some of them host data outside Vietnam.
- Co-organisers and venues of the specific event you attend, where needed to run it (guest lists, access passes) — named on that event’s page.
- The hosting provider of this website and its content management system.
We never sell personal data and do not share it with third parties beyond the cases above, unless required by law.
6. How long we keep it
- Contact-form messages: 24 months from receipt.
- Resource download registrations: 24 months from receipt.
- Event registration data: 12 months after the event ends.
- Event photos and recordings: for as long as they document GLC’s work, always subject to removal on request (section 4).
- Analytics data: per Google Analytics’ retention setting (26 months).
7. Your rights
Under the Law on Personal Data Protection and Decree 13/2023/NĐ-CP you have the right to know, access, correct, delete, restrict and object to the processing of your personal data, to withdraw your consent, and to complain. To exercise any of these, email [email protected] and state your request. We respond within 72 hours of receiving it, free of charge.
8. Cookies and analytics
The site uses Google Tag Manager to load Google Analytics, which records how the site is used in aggregate (pages viewed, time on page, device, referrer). Google Analytics sets cookies in your browser. You can block it by disabling cookies in your browser settings or by installing the Google Analytics opt-out add-on. The site sets no other tracking cookies.
9. Children
GLC events are for adults and for students aged 16 and over. Anyone under 16 takes part through a parent’s or guardian’s registration; we do not knowingly collect children’s data.
10. Changes to this policy
When we update this policy we change the effective date at the top of the page. For material changes we will also announce them on the channels where the data was collected — registration emails, community groups or the event page.
